Impressive? We thought so too! That’s why we spoke with Ruben Smit, Project Manager for Training Temporary Workers at Timing, to discover how they organized the procurement of external learning content efficiently with Studytube.

From fragmentation to control

Say goodbye to complex processes and a mountain of invoices

In an increasingly innovative labor market, Timing faced several challenges related to the development of their temporary workers. Due to a decentralized procurement policy, the organization lacked control over costs and efficiency. According to Ruben Smit, branches were overwhelmed with “a mountain of invoices” and complex processes, while the scattered learning offerings made it difficult to quickly find the right training.

Ruben: “Our branches made decentralized purchases. This cost us quite a bit of time.” Not only was this time-consuming, but also financially less advantageous. He continues: “Across the entire organization, you can buy in bulk, but if you purchase locally at every training provider around the corner, you lose that volume advantage.”

Providing active training in a competitive labor market demands the right facilities

Advancements in automation and a tight labor market have created a growing need for targeted skill development, something the all-in-one learning platform from Studytube is perfectly suited for, thanks to its easily automated personalization options. “As a large staffing agency, it’s essential to provide active training. But we also need to ensure that we can facilitate it properly. A learning platform is an absolute necessity,” says Ruben.

Centralization without loss of control for branch managers

With the old decentralized approach, Timing lost control, time, money, and the proper alignment with learning needs. Now, with the Studytube learning platform, the staffing organization ensures centralized procurement without the branch managers losing control.

Ruben explains: “Our branch managers are essentially entrepreneurs on site. Timing wants to keep it that way. The responsibility for procuring learning content still lies with the branch managers. With the introduction of the learning platform, we have centralized the offerings.”

Targeted learning with industry-specific plug-and-play collections 

The organization created industry-specific 'plug-and-play collections' with relevant learning content, enabling temporary workers to focus on their development. The platform ensures a streamlined process from booking to invoicing, while branch managers retain control over the training budget.

Faster booking with fewer errors

The centralization of the procurement process brings additional benefits. Whereas branches were previously overwhelmed with invoices and complex processes, things are now different. Ruben explains: “Recruiters can now book training sessions themselves. These then go through the approval process, first going to the branch manager, who can approve them.’’ Everything related to approvals and invoicing is now transparent within Studytube’s learning platform. This way, Timing books faster, more accurately, and with fewer errors.

Ruben: “The deciding factor was Studytube’s experience in the staffing industry. Practically speaking, we could start using the learning platform the very next day.”

Less time, lower costs, more results

The implementation of the Studytube learning platform has led to impressive improvements in efficiency and cost savings. Timing has drastically reduced the booking time for external learning offerings from 60-90 minutes to just 20-25 minutes. Thanks to the centralized approach, the organization achieves a 10 percent cost reduction on external learning, resulting in savings of €54,511 in the first year. In that same year, Timing processed no less than 1,045 individual bookings through the central platform, highlighting the effect of the new approach. 

Ruben: "We recently reviewed it again, and now this process only takes 20 to 25 minutes. I’m confident we can make it even faster. We are currently working on a live integration between the learning platform and our own database, our ERP system. With this integration we eliminate that part of the administration too. I suspect we can cut the time we spend on this process in half again."

Looking to the future: ongoing innovation for relevant learning

To always provide temporary workers with up-to-date and relevant learning opportunities, Timing stays in close contact with both employees and clients. With 30 job coaches across the country, learning needs are gathered and matched directly to real work situations. Additionally, Timing is working on a live integration between the learning platform and their ERP system, further streamlining the administrative process and increasing time savings. In this way, Timing continues to innovate to make learning even simpler, more efficient, and more effective.
